As a Service Writer / Advisor, you’ll be the key connection between customers, technicians, and the service department. This role is ideal for someone who enjoys managing workflow, communicating clearly, and taking ownership of the service experience from start to finish.
What This Role Is All About
This is a customer-facing, detail-driven position at the center of the service department. You’ll coordinate service and repair appointments, build accurate estimates, and keep customers informed every step of the way — all while supporting service department goals for productivity, efficiency, and profitability.

Key Responsibilities
Customer Service & Communication
• Greet walk-in and phone-in customers needing service or repair assistance.
• Listen to customer concerns and ensure equipment is serviced or repaired as requested.
• Proactively communicate repair status using phone, text, or email — based on customer preference.
• Follow up with customers after service completion to ensure satisfaction.
• Assist customers in deciding whether to repair equipment or explore trade-in options.
Service Scheduling & Workflow
• Schedule service and repair appointments to minimize equipment time in the shop.
• Manage service workflow to support technician productivity and on-time completion.
• Maintain equipment delivery sheets and coordinate equipment pickup and delivery.
• Assist customers with rental equipment and service loaners.
Estimates, Billing & Warranty
• Create accurate repair estimates and explain them clearly to customers.
• Prepare invoices for completed service and repair work and collect payment.
• Obtain manufacturer approval for warranty repairs and submit warranty claims.
Department & Team Support
• Assist with technical questions from customers and technicians.
• Communicate equipment, parts, and supply needs to management.
• Support and communicate with other departments and company locations.
• Operate a forklift safely after completing company training.

• Prior service writing, dealership, or equipment experience is helpful — but not required!
